Problem

31% of new-customer calls were dropping to voicemail before a human ever rang back, and emergency requests were getting lost in the back-and-forth between dispatchers, technicians and a separate ticketing tool. Hiring an overnight team wasn't viable for a growing services business.

What we built

We designed a voice agent that answers on the first ring, draws on a per-business FAQ knowledge base for routine questions, escalates urgent calls (burst pipes, no-heat) to the on-call technician, and writes a structured job — with priority, owner, address and due date — straight into the dispatch board. Built on LLM tool-calling, Twilio for telephony, and a webhook layer into the team's existing CRM.

Outcome

After-hours lead capture rose from 12% to 81%. The agent now resolves ~60% of all inbound calls end-to-end and creates ~40 structured jobs per day, with full transcripts and AI summaries attached to every customer record.
